    We operate a day school program for VPK-8th grade. We offer a before and after school program. For those who offer this program how much do you charge and how do you do your billing?  We currently charge $4/hour. We work with families with multiple children and hardships.  The system we use has been a major problem.  The billing statements are about 4-6 weeks behind the actual use.
    We are changing to a different system. With this system we can charge by the hour or a flat fee.  The parent can be billed weekly, bi-weekly or monthly.
    I would love to hear how your program works? What you like about it? What improvements you would do?

    Hi Cheryl - 

    Your post caught our attention here at CPS and we sought out a little help. I reached out to the LCMS Office of School Ministry, and they shared some info with me. 

    First off, they said that how much schools charge should be based on the per-pupil cost. So any insights anyone provides about what they charge may be hard to put into context without knowing their costs. 

    Beyond that, though, they did share a few comments that were shared on this same topic on the LuthEd Facebook page. That page is, I believe, designed for LCMS educators, as opposed to this site which is for lay leaders. Either way, we're happy to share some comments from that site about different tools. 

    http://procaresoftware.com Procare is what we use at our childcare.  I like the abundance of reports that you're able to generate, the ability to bill and collect payments (via Tuition Express), track schedules of children and teachers and timecards for employees.  Plus, their customer service is outstanding!


    We use Brightwheel, but we do not use the billing portion.  We use QuickBooks for billing

    We use RenWeb, too.  It is what our Elementary school uses.  The billing is called FACTS billing but it is under the RenWeb umbrella.


    It seems like you already had a tool selected, but this information may be helpful to you or others.

    Dave Kuschel,

    Thank you for your response and sharing the comments from the LuthEd Facebook page. I do realize that a lot of factors are looked into when trying to determine cost per student. I would still be interested in how often they do their charges and billing without sharing the price charged.
